Representation Costs in Norway – What You Need to Know About Tax Deductions

November 25, 2024

What Are Representation Costs?

Representation costs are expenses incurred by a business to establish and maintain relationships with clients and partners. These can include meetings with clients, product presentations, networking events, or light refreshments. In Norway, such expenses are strictly regulated, and not all can be deducted from taxable income.

Can Refreshments for Clients Be Deducted?

Yes, but under certain conditions. Norwegian law allows the deduction of costs for refreshments provided to clients, suppliers, or business partners, provided specific criteria are met.

Conditions for Deducting Refreshment Costs

  1. Connection to Business Activities:
The expense must be directly linked to the company’s operations. For example, a meeting with a client to discuss collaboration or negotiate a contract may qualify for deduction.
  2. Time and Circumstances:
Refreshments should be provided during working hours or in connection with specific business activities, such as negotiations or product presentations.
  3. Location:
The expense must cover catering services provided at the company’s premises or a nearby restaurant.
  4. Alcohol:
Norwegian regulations allow the deduction of alcohol costs (wine, beer, or stronger spirits) if their use is justified in a business context, and moderation is observed. These expenses must be directly related to the company’s activities.
  5. Deduction Limit:
In 2024, the maximum amount of deductible representation costs is 5,000 NOK per year. Additionally, only 50% of the incurred costs can be deducted. This means that to fully deduct 5,000 NOK, a business must incur representation expenses totaling 10,000 NOK.

How to Properly Account for Representation Costs?

To deduct these costs, proper documentation is essential. The following should be included in your accounting records:

  • Invoices and receipts confirming the purchase of services or products.
  • Purpose of the meeting – details on why the expense was incurred.
  • List of participants – information on individuals who attended the meeting.

Complete documentation is key to demonstrating the connection between the expense and your company’s business activities.

Examples of Deductible Expenses

  1. Dinner with Contractors:
A meeting at a restaurant with a current or potential client to discuss ongoing projects or cooperation terms.
  2. Networking Event:
Organizing a team-building or networking event for key clients to strengthen business relationships.
